Pocket Giving Ltd is a charitable giving platform registered in England and Wales. Our platform connects donors with charitable organisations, enabling seamless donations and recurring giving.

3. Information We Collect

3.1 Information You Provide Directly

  • Account Information: When you create an account, we collect your name, email address, phone number, and password.
  • Profile Information: Profile picture, display name, and any other information you choose to add to your profile.
  • Donation Information: Payment details, donation amounts, Gift Aid declarations, and charity preferences. Payment card details are processed securely by our payment processor (Stripe) and are not stored on our servers.
  • Communications: When you contact us for support, send messages through our platform, or subscribe to our newsletters.

3.2 Information Collected Automatically

  • Device Information: Device type, operating system, unique device identifiers, and mobile network information.
  • Usage Data: Pages visited, features used, donation history, time spent on the Service, and interaction patterns.
  • Location Data: Approximate location based on IP address. We do not collect precise GPS location.
  • Cookies and Similar Technologies: We use cookies and similar tracking technologies to enhance your experience. See Section 9 for details.

  • Charity Partners: When you donate to a charity, we share your name, donation amount, and Gift Aid status (if applicable) with that charity so they can process your donation and claim Gift Aid where applicable.
  • Service Providers: Third-party vendors who help us operate our Service, including:
    • Stripe (payment processing)
    • Brevo/Sendinblue (email and SMS communications)
    • Hasura/Cloud hosting providers (data storage and infrastructure)
    • Cloudinary (image hosting)
  • Legal and Regulatory Bodies: HMRC for Gift Aid claims, law enforcement when required by law, or to protect our rights and safety.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.

7. Data Retention and Deletion

7.1 General Retention

We retain your personal information only for as long as necessary to fulfil the purposes described in this policy, or as required by law. Specifically:

  • Account Data: Retained while your account is active. You may delete your account at any time (see Section 8).
  • Donation Records: Retained for a minimum of 7 years to comply with HMRC Gift Aid regulations and financial auditing requirements.
  • Marketing Data: Retained until you withdraw consent or unsubscribe.

7.2 Account Deletion

You have the right to request deletion of your account and associated personal data at any time. When you request account deletion:

  • Your personal identifiers (name, email, phone number, profile picture) are permanently anonymized
  • All active subscriptions and recurring payments are cancelled immediately
  • Your sessions are terminated across all devices

Important: Transaction records and donation history are retained for legal and accounting purposes (HMRC compliance) but are disassociated from your personal identity. This is not optional — we are legally required to maintain these financial records.

8. Your Rights

Under the UK GDPR and Data Protection Act 2018, you have the following rights:

  • Right to Access: Request a copy of your personal data.
  • Right to Rectification: Correct inaccurate or incomplete data.
  • Right to Erasure: Request deletion of your personal data (subject to legal retention requirements).
  • Right to Restrict Processing: Request limitation on how we process your data.
  • Right to Data Portability: Receive your data in a structured, commonly used format.
  • Right to Object: Object to processing based on legitimate interests or direct marketing.
